In order to carry out its ordinary duties to its members, visitors, Haileybury staff and pupils we will need to be able to process personal data about individuals, clubs and members of those clubs as part of our daily operation.   • PARQ Health information
  • Activity and usage information

Additionally, images captured by the Haileybury CCTV system which may include your car registration.

If an individual believes that we have not complied with this policy or acted otherwise than in accordance with Data Protection Law, they should utilise our complaints / grievance procedure and should also notify the Sports Complex Manager. You can also make a referral to or lodge a complaint with the Information Commissioner’s Office (ICO), although the ICO recommends that steps are taken to resolve the matter with us before involving the regulator.

Where we are relying on consent as a means to process personal data, any person may withdraw this consent at any time. Please be aware however that we may have another lawful reason to process the personal data in question even without your consent.

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect. Occasionally, we will need to share personal information relating to its members with third parties, such as professional advisers (lawyers and accountants) or relevant authorities (HMRC or police).

This is always subject to contractual assurances that personal data will be kept securely and only in accordance with the Sports Complex’s specific directions.

Controlling your Personal Information

We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so.

You may request details of personal information which we hold about you under the Data Protection Act 1998. A small fee will be payable but, only where Data Protection law allows it. If you believe that any information we are holding on you is incorrect or incomplete, please write to or email us as soon as possible at the above address. We will promptly correct any information found to be incorrect.

Data Retention

We will retain all membership contract data for a minimum period of 6 years from the date of the cancellation of your membership. For non-members, if an account has been inactive for a period of at least 2 years (from the last recorded visit to the Sports Complex) we will securely destroy all of your personal information.

How We Use Cookies

We do not currently use cookies on the Haileybury Sports Complex website other than those used by Google Analytics to track trends across our visitors in order to make our website a better experience for you.
